The Challenge
VMP needed a comprehensive overhaul of their ecommerce platform to support their expanding subscription-based business model, improve logistics and workflows, and enhance the overall customer experience. The challenge involved migrating from a custom Ruby on Rails platform to Shopify Plus, while developing a suite of custom functionalities that would support subscription management, wishlists, product swaps, and club-exclusive offerings.
Additionally, VMP required solutions that would support their logistics and inventory management, streamline internal workflows, and optimize the storefront for a better user experience.

What We Did
Our scope of work for VMP included the following key services:

Phased Migration to Shopify Plus
We executed a phased approach for the migration of VMP’s platform to Shopify Plus. In the first phase, we focused on relaunching the user-facing elements of the site using a new custom theme on Shopify, integrated with Chargebee to manage existing subscriptions. This allowed VMP to get accustomed to the Shopify platform before undertaking a full-scale migration of subscription data and developing custom user-facing dashboards.

Custom Subscription Platform
We developed a comprehensive subscription management system integrated with Shopify Plus and Chargebee. This included the creation of a custom My Account portal where subscribers could manage their subscriptions, swap records of the month, upgrade their plans, and make additional purchases. This subscription system was tailored specifically to accommodate the complexities of VMP’s club model, including product swaps, add-ons, and gifting capabilities.

Custom Functionalities for Logistics and Workflows
To support VMP’s internal operations, we built custom functionalities that integrated their inventory management system with the Shopify store and Chargebee platform. This middleware ensured efficient inventory tracking based on the number of active subscribers and product swaps, helping VMP forecast inventory needs more accurately and streamline fulfillment processes.
Wishlist and Club-Exclusive Features
We developed a wishlist functionality that allowed users to save records they were interested in for future purchases. Additionally, we built exclusive shopping capabilities for club members, where certain products were only accessible to active subscribers. This feature included account validation to ensure only eligible members could purchase restricted items.
Subscription Gifting and Custom Login Page
We implemented a subscription gifting feature that allowed users to gift subscriptions of various lengths (e.g., 3, 6, 12 months) without automatic renewal. We also developed a custom login page to make the customer transition from the old platform to Shopify more seamless. This page recognized migration tags and provided custom prompts for users to activate their newly migrated accounts, helping to reduce support inquiries and minimize friction during the transition.
Storefront Optimization
We optimized the Shopify storefront by designing a new custom theme with a focus on maintaining VMP’s unique brand identity while improving usability. This included mobile responsiveness and cross-browser compatibility to ensure a consistent experience across devices. The design process involved multiple rounds of revisions to align with VMP’s expectations and provide an engaging experience for vinyl enthusiasts.
